Privacy Policy
Killara Golf Club is committed to respecting the right to privacy and the safeguarding of personal and sensitive information of its Members, staff, candidates for membership, guests and others.
It is the policy of the Club to meet the requirements of the Privacy Act 1988 and the National Privacy Principles (NPPs) in respect of the way in which we collect, use, store, secure, disclose and dispose of personal and sensitive information.
Our Privacy Policy outlines Killara Golf Club’s intention with regard to privacy of information, communication to Members and our website.
Personal Information
Personal information is any information from which a person’s identity can be determined. The information collected by Killara Golf Club may include, but is not limited to, a person’s contact details (name, email, postal address, phone numbers), date of birth, gender, and qualifications.
The Club collects personal information for the administration of the Club, to provide and promote our services including communication with Members, to assess candidates for membership and to meet our legal obligations.
The Club may ask for other information voluntarily from time to time (for example through surveys) to enable us to maintain and improve our services.
Sensitive Information
Sensitive information is personal information about an individual’s health, racial or ethnic origin, political opinion, membership of a political association, professional or trade association or trade union, religious beliefs or affiliation, philosophical beliefs, sexual orientation or practices, criminal record or disability.
The Club will not usually collect sensitive information except for relevant medical information. However, if we do, we will always seek your consent and will only use that information for the purpose for which it is collected.
Collection of Information
Killara Golf Club collects information when a person
- joins the club
- participates in a club survey or feedback form
- reports an incident
- accesses our website
- contacts us via email, telephone, mail or engages on social media
- participates in an event run by Killara Golf Club
- is elected to the Board of Directors
- responds to any request we may make (eg for medical treatment)
Disclosure of Information
We may disclose your personal information to:
- other golf clubs for the purpose of reciprocal arrangements
- other Members
- other companies or individuals who assist us in providing services or who perform functions on our behalf
- anyone authorised by you
Responsibility to Members and Employees
Subject to the disclosure referred to above, the Club will ensure that in meeting the requirements of the Act that the following are observed:
- all personal information on a Member will be kept secure
- no personal information will be made available to a third party without the Member’s or employee’s consent
- personal information will only be used for the purpose for which it was collected
- personal information of a Member is available to the Member upon request
- reasonable steps will be taken to ensure that personal information is accurate, complete and up-to-date
- any information on children will be handled by a responsible person in a responsible manner
Management of Personal Information
The NPPs require us to take reasonable steps to protect the security of personal information.
The Club’s Members and employees are required to respect the confidentiality of personal information and the privacy of individuals.
Information is stored in both paper and electronic form. Much of the information collected is added to our membership database and steps have been taken to protect the information we store from misuse, unauthorised access or modification.
Updates to this Policy
This Policy may be reviewed from time to time to take account of new laws and technology, changes to our operations and practices and the changing business environment.
Privacy Officer
The General Manager is the Privacy Officer for the Club and any concerns regarding the privacy of personal information should be directed to the General Manager.
Communication Channels
In line with our Privacy Policy, we collect appropriate personal information from Members in order to ensure that everyone associated with the Club is informed about Club matters and kept up-to-date with details of forthcoming Club events, competitions, schedule changes and news.
Killara Golf Club uses a number of channels to communicate with Members including, but not limited to, the Website, Weekly Updates, Facebook and Instagram (‘Communication Channels’). Often an article or photograph that is posted on our Website and in our Weekly Update, may also appear on our Facebook and Instagram sites. This particularly applies to team updates, trophy wins, holes-in-one and the like, but also can apply to social events held at the Club.
It is important to be aware that regardless of the Communication Channel, any of these photos or articles has the possibility of being in the public domain.
If you do not want your personal information such as your name or photo to be used in our communication with Members, please ensure you are excluded from appearing in any photos which may be used in any of our forms of communication.
The General Manager has been appointed Privacy Officer and, in that role, provides accountability and control over material published in any of our Communication Channels.
Killara Golf Club Commitment
Our communications will protect Members’ privacy, ensure that bullying or harassment does not occur and ensure that all articles are respectful and relevant and will not cause embarrassment.
The Club ensures that:
- articles and photographs are relevant
- no offensive articles or photographs are published
- no photo of a child under the age of 13 years is published without the consent of his or her parents or guardian
- content is family-friendly and feature positive Club news and events
- no personal information about our Members is disclosed without their consent
- no statements are made that are misleading, false, embarrassing or likely to cause injury to a person’s reputation
- no content is published that may bring the Club into disrepute
Responsibility of Members
We expect our Members to conduct themselves appropriately when sharing information with other Members or posting on social media sites connected to the Club. The following guidelines should be adhered to:
- content should be relevant to Club matters
- any article or post must not offend, intimidate, humiliate or bully another person
- content must not be misleading, false or likely to cause injury to the reputation of another person or the Club
- articles and photographs should be respectful
- photos of children under the age of 13 years must not be posted without the permission of their parents or guardian
Non-Compliance
Abusive, discriminatory, intimidating or offensive statements will be removed and those responsible will be blocked from the site, if applicable.
Members or Employees found to be in breach of this policy may face disciplinary action. Anyone who publishes false or misleading comments about another person in the public domain may be liable for defamation.
Website Privacy
To the extent that the other sections of this Privacy Policy apply to online website privacy, they form part of the terms of use for any website operated by us. This section of the Policy provides information specifically relating to the website operated by us.
When you visit the Club’s website, our internet service provider makes a record of the visits and logs certain information such as the user’s address and domain name, the date and time of visit to the site, the pages accessed and documents downloaded.
This information is aggregated for reporting purposes. Personal identifiable characteristics are removed and users remain anonymous unless you have provided express consent to us to recognise your usage. This data is gathered by us to examine internet trends and demographics and to assist in improving our services and website.
